Getting onboarded

There is no self-serve signup. Every office is set up personally, which is why setup takes minutes instead of weeks.

  1. Book a 15-minute demo at cal.com/molvo/molaris, or email hello@getmolaris.com. We'll show you the workflow on fictional data and answer questions.
  2. We create your account. You'll get one email containing your agreement packet (Order Form, Software Subscription Agreement, and BAA in one reviewable page), a one-time password link, and your office's own sign-in address.
  3. Review and e-sign the packet. Molaris countersigns, and your plan is activated. Production access stays off until both signatures are in, so no patient data moves before the BAA is executed.
  4. Set your password and bookmark your portal. Your office signs in only at its own address, like yourname.getmolaris.com/login — not at a shared login page.
  5. We configure Open Dental with you on the same call: API key, the Program Link button, and your note templates.
Who can use it? Every plan covers unlimited providers in the office — dentists, hygienists, assistants — at one per-office price.

Recording a visit & approving the note

One ambient recording becomes an eleven-section clinical note, drafted for your sign-off. Nothing is ever saved without your approval.

Record

  1. Open the patient (or press New session), confirm the provider and procedure — the template auto-matches the procedure, or pick one.
  2. Press Start recording. The live transcript streams as you talk. A floating recorder pops up and stays on top of Open Dental with the live captions, a timer, and Pause / Stop controls. Drag it to a corner once — it opens there every time after.
  3. Talk normally. Medical history checks, findings, anesthesia, materials, post-op instructions — natural conversation is enough; no dictation grammar.
  4. Press Stop & draft. Molaris transcribes the audio and drafts the structured note.

Review & approve

  1. Read the draft. Every section is editable in place; you can add or remove sections.
  2. If the AI wasn't confident about something, a popup shows it: empty boxes are things it didn't catch, prefilled boxes are things that sounded garbled and deserve a double-check.
  3. Use Ask AI to revise in your own words ("make the findings more detailed", "shorten post-op"). Undo restores any version.
  4. Press Approve & sign. The note locks as the final record, and if Open Dental is connected it files to today's appointment automatically (or as a chart note when there's no appointment).
Signed means signed. An approved note can never be silently edited. Corrections create a separate signed amendment, with the original preserved and an audit trail of both.

Voice perio charting

A complete six-site exam without borrowing an assistant. The chart looks and reads like Open Dental's, and computes what should be computed.

Charting

  1. Open the patient → Perio chart tab.
  2. By voice: press the voice button and call out depths as you probe ("three two three… four three five"). The chart fills site by site and shows a caption of what it heard.
  3. By keyboard: click any cell and type 1–9 — entry auto-advances across sites and teeth, buccal then lingual.

Keys

What computes automatically

CAL per site (PD + recession), bleeding and plaque percentages, and the AAP/EFP 2017 stage and grade from interdental CAL, bone-loss percentage, age, smoking, and HbA1c. Red numbers flag out-of-range values just like Open Dental's chart.

Saving

  1. Add anything to Exam notes under the chart (tissue response, home care, plan).
  2. Press Save exam. The exam is stored with date and provider, and — on Open Dental 23.1 or newer — files as a real exam into Open Dental's Perio Chart module, graphable there like any hand-entered exam. Older versions receive a formatted chart note instead.
  3. Past exams stay listed for side-by-side comparison, and the Compare overlay shows last visit's depths in each pocket while you chart.
Nothing is lost on reload. Work in progress is mirrored on the device and to your database as you chart; reloading brings you back to the same patient and tab.

Referral letters

Specialist-ready letters drafted from the visit, sent with a paper trail.

  1. Open the patient → Referrals tab → Generate referral.
  2. Pick the letter type and recipient. Your specialist list is your own: add colleagues once and Molaris remembers them (it also learns automatically from letters you send).
  3. Review the drafted letter — it's plain text, edit anything.
  4. Email it: the specialist receives the letter with a PDF attached for printing or filing, plus an acknowledge button. When they confirm receipt, the referral shows Acknowledged ✓ on your chart. Or use Print / PDF for a letterheaded copy.
  5. In Open Dental, the referral files into the patient's Referrals, exactly where the front desk looks.

Patient e-sign forms

Med history updates, HIPAA acknowledgments, and any form your practice builds — signed on the patient's phone, filed automatically.

Sending

  1. Open the patient → Forms tab.
  2. Press + Medical history, + HIPAA acknowledgment, or any custom form you've created. Enter the patient's email, or leave it blank to copy a private signing link (text it from the office phone, or open it on a tablet in the operatory).
  3. The patient answers and draws their signature on their phone. The form shows as Signed on the chart the moment they finish, with timestamp and signature, and files to their Open Dental chart automatically. Print / PDF gives a letterheaded copy any time.

Building your own forms

  1. In the Forms tab press + New form.
  2. Name it, add an optional intro, then write one question per line. End a line with ? to make it a Yes / No question; anything else becomes a text answer.
  3. Save. The form gets its own send button next to Medical history and HIPAA. (Shift+click that button to remove the form later.)
Emails come from your office. Patients see your practice's name as the sender and on the signing page — Molaris stays in the fine print.

Open Dental setup

Molaris writes into Open Dental's own modules, not a side folder. Two pieces make that work.

1 · The API connection

Your office's Open Dental API key connects Molaris to your database. We set this up with you during onboarding — if you need to change it later, it lives in the admin side of your account, or just email us.

2 · The Molaris button inside Open Dental

In Open Dental go to Setup → Program Links → Add, and paste this as the path (with your own portal name):

Enable it for the Chart and Appointments toolbars. Clicking it opens that patient's Molaris chart — and if Molaris is already open in a tab or the desktop app, the patient is handed to your existing window instead of opening another tab.

Where things file

Version check: Help → Update inside Open Dental. 23.1 or newer unlocks real perio-chart writes; everything else works on any recent version. Your API key needs permissions for Patients, Appointments, Perio, Referrals, and Commlogs (Setup → Advanced Setup → API).

The desktop app

Molaris installs as its own app, so it lives next to Open Dental instead of inside a browser full of tabs.

  1. Open your portal in Chrome or Edge (yourname.getmolaris.com) and sign in.
  2. Click the install icon at the right end of the address bar ("Install Molaris"). It becomes a windowed app with its own taskbar icon.
  3. Recording in the app pops the floating recorder automatically. Updates arrive on their own: fully close the app window and reopen it to pick up the latest version.

Billing & plans

One price per office, sized by how many visits you record. Every feature is on every plan.

Your usage gauge, invoices, plan changes, and mid-month top-ups live under your avatar → Usage & billing. Annual billing gives two months free. Plans are set during onboarding; changing tiers takes effect immediately.
