Molaris ("we", "us") provides AI-assisted dental documentation for dental practices. This policy explains what we collect, why, and how it's protected. The short version: your patients' data belongs to your practice, we never sell it, and nothing clinical is saved without a provider's approval.
We do not sell personal or patient information, and we do not use your patients' health information to advertise to anyone.
Transcription and drafting are performed by third-party AI providers acting as our processors. Content is sent for processing only, is not used to train their models under our agreements, and every AI-generated draft requires review and explicit approval by a licensed provider before it is saved to a chart.
When Molaris handles protected health information on behalf of a practice, it does so as a business associate. A Business Associate Agreement (BAA) with the practice is required before PHI is processed in production. Data is encrypted in transit (TLS) and at rest, access is scoped per practice, audio files live in private storage accessible only via short-lived signed links, and clinical notes carry an immutable audit trail.
Your practice's records are retained while your account is active. You can delete individual records in the app, or contact us to delete your practice account and its data entirely, subject to legal record-keeping obligations that apply to your practice.
